Keeping Trees Private

I am creating many small family trees for research, and tested it to see how it worked. I created a new user account for the Lapan family, but when I logged into it I was able to see all the other trees as well. What did I do wrong? ~ Lisa

The admin user will always be able to see anything in the system.

I'm not sure how your making the trees private. I'll try to figure that out now and tell you what I find.

I actually do not know what I did either! LOL! I created a new account using a different email address so I could log in that way and "see what they see" (not as admin). I have since deleted the user account and will play more with it today. ~ Lisa

Make sure when you create the user that you do not add them as a "researcher" - if the user is a researcher account, they have access to all trees.

It does help, thank you! What does "linked profile" mean? If I want them to be able to work on the tree I select "family member?"

So basically all users in your Genosis that are added AFTER you need to be linked to an existing profile. So let's say you invite your sister (for example) to be part of your Genosis - make sure there is a Genosis profile in your tree for her, then when you create a new user you select her Genosis profile as the linked profile. Then make sure she is NOT a researcher. Then, she can log in and explore the tree she is part of.

Where do I make the profile? What do I check mark if I want someone to be able to contribute to just one particular tree? For instance... Becky and I share ancestors with one family, and we want to work together on the tree and compile our information. I want her to be able to log into that family and upload her pictures and documents. And yes... you are very helpful! :-)

Here's the easiest want to do it:

Let's say you have a tree for the "Smith" family and want to invite "Joe Smith" - a distant family member - to the Smith family tree, and you DO NOT have a profile yet for Joe Smith in the Smith family tree:

1) Click on "Trees" -> "Smith Family" to make the Smith tree active

2) If you already have a family member related to Joe Smith, navigate to that family member and click on "Add New (parent/spouse/child/sibling)" (whatever Joe Smith's relation is to the person you are viewing) and create the profile for Joe Smith.

3) Click on Admin -> Create User Account and select the "Joe Smith" profile you just created as the linked profile.

If you do NOT have anyone in the Smith tree that is related to Joe Smith (i.e. you are going to create the Joe Smith profile as an "island") then you can simply pick any existing profile in the tree, click on "add new parent" (or whatever), create the Joe Smith account, then when you view the new Joe Smith profile you can click on the small "X" in each of the relationships with existing profiles in the side menu - that will "unlink" the profile with those users and the Joe Smith profile will stand alone. Then create user and set them to that profile the same as above.

Right now there is no way to limit them to a specific tree, although that's not a bad idea and I can check it out for a future release.

Thank you! As you can tell, I have had a whole weekend to play and I've got lots of questions about the best way to do things! Now, do I click "researcher" to allow "Joe Smith" to upload his photographs and documents? Is it best to create a profile from someone under the user accounts module or being in the tree, clicking admin and then "create user account?" You are incredibly helpful, and I am having a lot of fun this weekend!

Make sure for Genosis you always use the "Create User Account" - that sets the user up properly in the tree.

As for photos and documents, Joe Smith can only upload those to his own profile if he is NOT a researcher - or that's how it is supposed to work ;) Everybody in my tree is a researcher, so to be honest while it should work, it's not been tested extensively, so let me know if you run into any issues.

I have got LOTS of questions! :-) When I create a profile to invite someone to add their stuff is there a place to write a brief email so they know what they are getting when a username and password shows up for them? I am a little nervous tinkering in the modules because I do not really understand everything when I click each of the tabs. ~ Lisa

No - there's just the simple invite email - however, you can customize the email that is being sent and add your own note to it (it will be the same for everyone though) by click on Admin then going into the "templates" tab for the Genosis Core and modify the "email_created_message.tpl" file.
